Giving a Canadian dairy supplier one clear view of every customer, order and follow-up
DairyMax Canada runs on relationships. Restaurants, cafés, grocers and food service buyers order often, change their minds often, and expect the delivery to turn up when it was promised. For years, the team kept all of that together with spreadsheets, shared inboxes and a lot of goodwill.
It worked, until it didn’t. As the customer list grew, things started to slip through the gaps: a repeat order that never got confirmed, a quote nobody chased, a customer who had to explain the same issue to three different people.
Digitales worked alongside the DairyMax team to build a connected CRM and automate the repetitive work around it, so people could spend their day talking to customers instead of hunting for information.
The challenge
Dairy is a business of short shelf lives and tight windows. There is very little room to lose track of an order.
DairyMax needed its systems to cope with:
- Customer details scattered across spreadsheets, email threads and individual phones
- Orders, quotes and delivery changes arriving by phone, email and text
- No single place to see who had been contacted, when, and what was agreed
- Manual re-keying between sales, dispatch and invoicing
- Reporting that took days to pull together, so decisions were made on gut feel
- Customer data that needed proper care under Canadian privacy and anti-spam rules
The goal was not to buy software for its own sake. It was to build a calm, reliable backbone for the business that the team would genuinely want to use.
What we did
We started by sitting with the people who do the work: sales reps, dispatch and the accounts team. Before any tool was chosen, we mapped how an enquiry actually becomes a delivery, and where it gets stuck on the way.
CRM design and set-up
We built one customer record that holds everything: contacts, delivery locations, product preferences, order history and every conversation. Pipeline stages were kept deliberately simple, in the words the team already used.
Business process automation
Quote reminders, order confirmations, delivery notifications and overdue invoice nudges now happen on their own. The team still steps in for anything that needs a human touch, which is most of the interesting stuff.
Systems integration
The CRM was connected to the accounting and ordering tools already in use, so a figure is typed once and appears everywhere it needs to. No more re-keying, and far fewer “which version is right?” moments.
Data clean-up and migration
Years of spreadsheets were de-duplicated, standardised and moved across carefully. Consent records and unsubscribe preferences came with them, in line with CASL and PIPEDA expectations.
Dashboards and team training
Simple, live dashboards replaced the monthly reporting scramble. We ran hands-on sessions and wrote short, plain-English guides, because a CRM nobody trusts is just an expensive spreadsheet.
What changed
The biggest shift was how the day felt. Fewer “has anyone heard from…?” messages, fewer double entries, and a lot more time on the phone with customers.
- A single source of truth for customers, orders and conversations
- Automated reminders so quotes and repeat orders are no longer forgotten
- Sales, dispatch and accounts working from the same information
- Faster, more consistent responses to customer enquiries
- Reporting available in minutes instead of days
- Cleaner, better-protected customer data
- A foundation that can take on new products, routes and team members
The impact
For a business that deals in fresh products, good systems are really about trust. Customers trust that their order is safe with you, and your team trusts that the information in front of them is right.
By pairing a thoughtful CRM with sensible automation, Digitales helped DairyMax Canada run with more confidence today, and gave it room to grow tomorrow. That is the Run and Grow idea in practice: strong foundations first, then momentum on top.
“The goal was never to make the team work like a machine. It was to take the repetitive work off their plate so they could be more human with customers.”
